Membership and Admission to the Library

Admission to the Library is restricted to members, but others who are desirous in consulting the resources of the Library may do so with the permission of the Librarian or in her absence, from senior most member of the staff of the library present. Permission can be refused without assigning any reasons. Non-members have to pay necessary fees for referring as decided by the University from time to time.

The membership of the Library is open to the following categories :

Application for membership is to be made on the prescribed form obtained from the Library. Applications of students and faculty members of the University Departments shall be recommended by the respective Heads of the Department and of other categories shall be recommended by the Assistant Registrar(Administration). On fulfilling the requirements, a single multi purpose RFID Membership Identity Card signed by the Registrar will be issued to the members.

Note : One color passport size photograph( affixed on the membership application and duly attested by the respective authorities) and soft copy of the color passport size photograph in JPEG format in a CD. (Pendrive, e-mail download, etc. are not allowed)

A membership deposit is payable at the time of admission. The membership deposit will be refunded on the closure or withdrawal of membership and after all dues have been paid and the membership card issued have been surrendered.

The following overdue charges are applicable for the Research Scholars, P.G. Students and P.G.(Integrated) students for keeping the books beyond the due date :

For example, the following overdue charges per book are applicable for the Research Scholars, P.G. Students and P.G.(Integrated) students for keeping the books beyond the due date :

  • Books on loan can be recalled at any time irrespective of the period of loan at the discretion of the Librarian.
  • Bound volumes and loose issues of periodicals, reference books, damaged books, U.N. Documents, CD-ROMs and Text Books from the Text Book Collections are not issued on loan.
  • Before leaving the counter the members must satisfy themselves as to whether the books
  • lent to them are in good condition and if not, they must immediately bring the matter to the notice of the staff on duty at the circulation counter. Otherwise they shall be held responsible for any damage discovered afterward.
  • Loss of books on loan should be immediately reported to the Librarian. Any library member who lost a borrowed library book is given the option either replace the latest edition of the same book, or the Library shall charge the cost of the book plus 20% of the price of the book as a processing charge (technical processing and RFID cost) along with the overdue charges.. If the book reported as lost is later found out and returned then overdue charges will be collected from the due date.
  • Photocopying of library books and journals may only be carried out within the Copyright regulations. Members can utilise the photocopying facility provided inside the Library on payment.

Issue System

  • Traditional borrowers tickets method is completely abolished in the University Library. The members will be issued a multipurpose RFID Membership Identity Card at the time of admission. Issue and return of books can be done through the self checkout/checkin kiosks available at the entrance. A transaction slip will be generated and the signature of the Member/Staff will be obtained for authentication of the transaction. The RFID ID card and transactions slip should be produced to the library staff, if required.
  • Special care should be taken to see that the RFID Membership Identity Card is not misplaced or lost. In case of lose of Identity card, it should be reported to the Librarian immediately in writing. On receipt of such letter, the membership will be delinquent to avoid misuse of the lost Identity Card. The members who lost their Identity Card and wish to apply for duplicate Identity Card or Clearance Certificate should pay Rs. 200.00. Scholars and students who are extending their course of study beyond the normal duration and applying for renewal of Identify Card should also pay Rs.200.00 as charges toward renewal of Identify Card.
  • Number of computer terminals are provided opposite to the Circulation Counter to check the member details. After each transaction, the members are advised to check OPAC to ensure the transaction.
  • Tampering with a book by any library member and unauthorized book exit will invite a penalty of up to Rs.5000/ and suspension of membership.

No Dues Certificate

Heads of Departments of the University shall require the students of their departments to produce a clearance certificate from the University Library to effect that they have returned all books and cleared all dues, before they admitted to the final semester University examinations or are issued transfer certificate, which ever is earlier. The Research Scholars shall require to produce the clearance certificate before the submission of the theses. Research Scholars applying for No Dues Certificate should submit the abstract of their theses along with the application for No Dues Certificate. In addition, the Theses/Dissertations to be submitted should be checked for possible plagiarism by the respective guides and the same to be certified in the application for No Dues Certificate.

In case of loss of No Dues Certificate, a duplicate certificate will be issued on payment of Rs. 50 and a written request to the Librarian.
